How can I restrict access to certain documents to specific users only?

HelpLook supports configuring some documents to be publicly accessible, while others to be accessible only to specific users. Enterprises can flexibly configure document access permissions based on different business needs and user roles.

*This feature is only available in Enterprise Edition

 

1. Set access permissions

 In Set up- > USER AND SECURITY - > Site accessand select Mixed.

 

2. Add visitors and users

  In Set up- > USER AND SECURITY - > Visitors And Groups,  click "Add user", enter the name and mobile phone number or email of the visitor user, click confirm to customize the access time, and support batch adding verification users.

  • You can also create Groups to manage and categorize visitors.

3. Configuring content access permissions

The following two methods can configure content access permissions. Method 1 is recommended, which is more convenient for viewing the user's specific access permissions.

Method 1:

  In Set up- > USER AND SECURITY - > Visitors And Groups, click Edit, then you can configure column/article access permissions for each user.

Method 2:

Select the category, and click "···" symbol and select "Access Permission" to configure the access permissions for different users.

 

After:

  • Under Mixed access, visitors click "Login" in the upper left corner to view all the content under his authority.
  • When the user type is the verification user, you need to click to log in and enter the mobile phone number or email verification code to view the non-public document.

 

FAQs:

1. What are the search and AI Q&A permissions for visitor users?

Visitor users can only search for content they have permission to view, and AI can only reply to content that the user has permission to view.
